Technology Use Policy

Overview

ABX Air furnishes equipment and access to the Internet, email, and other electronic information resources for effective and efficient business communications that provide access to worldwide networks. Employees are encouraged to utilize these resources to further the goals and objectives of the company. However Internet use also creates the possibility of contamination to our system via viruses and spyware.

This policy provides precautions and guidance to employees for productive business uses of ABX Air’s information resources while avoiding inappropriate, unethical, or unlawful activity.

Core Requirements

  • Unauthorized users are prohibited from accessing the Internet, except for the use of the company kiosks with the approved Internet resources.
  • The company’s email system is to be used for business purposes, with only incidental personal use permitted.
  • All information contained, sent, or received on the company’s computer and telephone systems (including company-issued mobile devices, text and instant messaging systems, social networks and message boards) is the property of the company.
  • Employees have no right to or expectation of privacy with respect to such information. The company reserves the right to access, review, and disclose any such information.
  • Information resources include, but are not limited to, Internet access, company email communication transported over the Internet, membership-based information exchange forums focused on specific topics, ABX Air's Intranet (internal web not accessible outside the organization); and other company-provided online systems, equipment, and software.
  • This includes any resources accessed on company laptops and computers, Blackberries or cell phones.
  • Passwords are not intended to imply privacy of information or data, but are intended to protect ABX Air and individuals by establishing responsibility for data transmitted using those identifiers.
  • All Internet and electronic transmissions are company property. ABX Air, at its discretion, may employ controls, including monitoring and filtering, to ensure they are used for business purposes only.
  • ABX Air permits monitoring or recording by authorized management to assess productivity, to help train, to ensure excellent customer service, and to assure appropriate use of these resources.
  • Monitoring or recording for personal reasons is prohibited including unauthorized use of listening devices, tape recorders, or cameras, including digital camera cell phones.
  • Employees in positions requiring regular monitoring will be informed.

Appropriate Usage

  • Information resources are for business usage only and may not be used for illegal purposes including, but not limited to, copyright infringement, fraud, defamation, plagiarism, harassment, threats and intimidation, forgery, impersonation, gambling, or computer tampering (i.e. spreading computer viruses).
  • It is never acceptable to use the company system or personal devices on company property to access any pornographic or sexually oriented web sites or to display or transmit any form of pornographic or sexually oriented images, jokes, or messages. Viewing or texting/sending pornographic or discriminating/harassing materials on company property or through the company system (whether from home or at work) is not acceptable and will be addressed accordingly.
  • Internet access should not be used for non-business reasons such as browsing web sites of personal interest, subscribing to non-business related forums or "chat rooms"; or conducting other personal business, such as ordering products via Internet.

Software, Downloads and System Protection

  • Employees should protect their email and Internet access to prevent unauthorized use of the Internet and email services.
  • All Internet-related software products must conform to corporate policies and must be installed and maintained in a legal and ethical manner. Employees must use only those software products (e.g., browsers) provided by ABX Air.

Employee Responsibility

  • All newly authorized users must sign and agree to the Email and Internet Usage Agreement prior to being assigned an email address or company-provided device. Employees may be required to comply with a yearly acknowledgement of the policy.
  • Do not open, forward, print or distribute any information that may be considered inappropriate. However, if it is opened, delete immediately and notify your supervisor and/or Information Systems of the situation. If possible, inform the sender to discontinue the practice.
  • Before initially introducing data from the Internet to ABX's systems, visually inspect it and use virus checking software before transmitting it or copying it to other data storage areas.
  • Do not share your password with another person or attempt to obtain another user's password. If you have reason to believe that security has been compromised, report it to your management.
  • Do not view, copy, alter, or destroy data, software, documentation, or data communications belonging to ABX Air or to another individual without authorized permission.
  • Use electronic devices in accordance with company safety policies so as not to jeopardize the safety of yourself or co-workers. Do not use cell phones and other electronic devices, including texting, when operating machinery or vehicles.
  • Never use electronic communications to send protected and confidential information such as Social Security numbers or HIPAA-protected medical records.
  • If your position requires regular monitoring or recording in the normal course of business, you will be advised of this when hired or promoted into the position.
  • If you are unsure whether a proposed use of technology is consistent with the mission of ABX Air, or with the Technology Use policy, check with your supervisor.

Leadership Responsibility

  • Obtain permission from a vice-president or higher authority before monitoring or recording.
  • Obtain permission from a manager or higher authority before accessing an employee’s e-mail or voicemail for legitimate business needs.
  • Take appropriate, fair, and consistent action if employees who report to you misuse the communications systems or transmissions.
  • If you supervise a position that requires frequent monitoring or recording, provide newly hired or promoted employees with a copy of the Technology Use policy.
  • If you want to establish regular monitoring or recording in your department, you must contact Human Resources or Legal.

Virus Protection

  • PCs on the ABX network are protected from viruses with Trend Micro virus protection software.  The Trend Micro signature files are updated every Sunday and all PCs on the network are scanned every Wednesday.
